Audience

Owners of 1 to 5 person trades, salons and local service businesses

Core takeaway

Confirm at booking, run a 1 day and 1 hour reminder, put a reschedule link in every message, post the cancellation rule before they book, and give one person the empty slot.

A no show is a slot you already sold and then sat in. Confirm at booking, remind on a fixed timeline, make reschedule one tap, post the cancellation rule before they book, and give one person the empty slot to fill the same day.

If you also text missed callers, that setup and the compliance note live on missed call text back. Do not restate those rules here. After the visit, the invoice is appointment reminders and invoice follow up. Trucks and the day board are field service dispatch.

01

Confirm at booking

The first message is the booking confirmation: time, place or link, who they see, and how to reschedule. If that message never goes out, every later reminder is a surprise.

When someone books, Calendly sends the details to you and the invitee. That is a calendar invitation from your connected calendar, or an email confirmation from Calendly. Calendly says those booking notifications cannot be turned off. You can add Automations at "New event is booked" if you want a second note from your own mailbox. Square Appointments sends confirmation requests from Square Dashboard, Appointments, Settings, Communications. Turn on text, email, or both. Square says appointment notifications are transactional only, and marketing language will be blocked. (Calendly scheduling notifications, Calendly Automations overview, Square: manage appointment notifications and reminders)

02

The reminder timeline

Pick one timeline per event type and leave it on. Calendly Automations can run before the event starts, and Calendly tells you to reduce no shows by asking invitees to reconfirm. Basic notifications (paid plans, feature access varies) are the simpler on/off reminders on the event type. Square lets you choose a time frame before the appointment; if the client has not confirmed by the time the reminder is due, Square resends the confirmation request with the reminder. (Calendly Automations overview, Calendly: basic notifications, Square: manage appointment notifications and reminders)

Calendly texts through Twilio, from numbers Calendly assigns. Replies are not delivered. Invitees have to opt in to texts. Each text can include up to 180 characters. You can add Calendly's reschedule and cancel links as variables. You cannot send texts during a Calendly trial. Feature access varies by plan. (Calendly: send text messages with Automations)

03

One tap reschedule

If changing the time takes a phone tree, they will ghost you instead. Put the reschedule link in the confirmation and in every reminder.

  • Calendly: insert the reschedule link variable in email and, if you use SMS, the reschedule URL Calendly documents for texts.
  • Square: turn on client allowed to reschedule if you want the client reschedule notifications to fire. Put the rule (how close to the appointment they may move it) in the booking settings and in the reminder.
  • If you do not use either tool, the reminder still needs a reply of RESCHEDULE and a person who answers that day.

04

A fair cancellation policy

Fair means they saw the rule before they booked, and you apply it the same way to everyone. Put it on the booking page and in the confirmation. Do not invent it in the no show text.

Put this in writing before they bookLeave it off the reminder
How close to the appointment they may cancel or move without a feeA threat you have never collected
Whether a no show is billed, and howA percentage you made up this morning
How they cancel (link, reply, call)A new rule for this one client

Collecting a deposit is a business choice. If you take one, say when it is earned and how they get it back, on the same page as the book button. This page does not tell you a deposit amount.

05

Same day gap filling

Calendly lets you mark a no show, which stops the usual after meeting Automations and can fire a no show reschedule Automation. Square shows unconfirmed appointments with a question mark on the calendar; you can resend a confirmation or mark it confirmed. Neither tool fills the hole. A person does. (Calendly Automations overview, Square: manage appointment notifications and reminders)

  • Keep a waitlist of people who wanted that day and could not get it.
  • When you mark the no show, the owner of the hole texts the first waitlist name the same morning. One offer, a deadline to reply (90 minutes), then the next name.
  • If nobody takes it, the slot is dead. Do not spend the afternoon chasing. Go do billed work.

Name one role. If everyone owns no shows, the chair stays empty.

07

Confirmation and reschedule messages

Paste these, then match the variables your tool supports. If you send automated texts, read the missed call guide before you turn that on.

Confirmation (at booking):

Hi [First name], you are booked with [Company] on [Day] at [Time] at [Place or link]. To move it, use [Reschedule link] or reply RESCHEDULE. Cancel by [cutoff] or the rule on the booking page applies.

Day before:

Reminder: [Company] [Day] [Time] at [Place or link]. Reply YES to confirm, or use [Reschedule link] if you cannot make it.

Hour before:

See you at [Time] at [Place or link]. If you are not coming, reply now so we can offer the slot.

After you mark a no show:

We missed you at [Time]. If you still want the work, pick a new time here: [Reschedule link]. If we do not hear back we will close this booking.
