Audience

Owners of 1 to 5 person home service and local service businesses

Core takeaway

Three touches that each change the ask, two of them in Jobber if the quote is awaiting response, then archive and stop.

A quote that sits in Awaiting Response is not a maybe. It is unpaid work you already did. Three touches, each with a different job, then you stop. Jobber can send two of those for you if the quote is still waiting. A person still owns the third, and the call.

After they approve and you do the work, invoices are appointment reminders and invoice follow up. That page is Calendly and QuickBooks. This page is the quote, before anyone is on the calendar. Inbox promises are inbox triage for a solo consultant. Trucks and the day board are field service dispatch.

01

This is not the invoice chase

Invoice follow up asks for money on work you already finished. Quote follow up asks whether they want the work. Mix the two and you sound like you are billing them for an estimate. Keep separate logs.

ClockStartsStops
QuoteYou send the quote (or mark it awaiting response)Approved, declined, archived, or three touches with no answer
JobThey approve and you convert to a jobThe visit is done
InvoiceYou invoice the same day as the workPaid, or parked as a dispute

Jobber's quote approval path is Client Hub: they open the link, Approve (or Approve and Pay Deposit), and sign if you require signatures. Status moves from Awaiting Response to Approved. Convert to a job after that. Do not chase a quote that is already approved as if it were unpaid. (Quote Approvals)

02

Three touches, then you stop

For a 1 to 5 person shop, three is enough. Each message has to change. If Email 2 is Email 1 with "just checking in," skip it.

TouchWhenJob of the message
13 days after you sent the quoteConfirm they have it. Repeat the total and the approve link. Ask one question if a choice is still open.
27 days after you sent the quoteAnswer the likely stall (timing, scope, a cheaper option you already priced). Do not cut the price in the email unless you mean it.
314 days after you sent the quoteLast note. You will archive on [Date]. They can reply to reopen. No guilt.
  • Stop when they approve, decline, or ask for a change. A change request is a new quote, not a fourth nudge.
  • Stop after touch 3 even if they read it and said nothing.
  • Stop sooner if the window for the work has passed (a Saturday event, a seasonal job).

Email 1: they have the quote

Subject

[Job type] quote for [Property or project], still open

Hi [First name],

The quote we sent on [Date sent] is still open. Total: $[Amount] for [Scope in one line].

Approve it here: [Quote link]

If you want a different date than [Proposed date], reply with two options that work. I will hold [Date you will hold inventory or the slot] and then release it.

Thanks,
[Your name]
[Company]

Email 2: the stall

Write the stall you actually heard, or the one this job type always hits. Do not list five discounts.

Subject

[Job type] quote: timing and what is included

Hi [First name],

Checking on the [Job type] quote for $[Amount]. What is included: [3 bullets]. What is not: [1 bullet].

If the stall is timing, the next window I can hold is [Date]. If the stall is scope, reply with the one item you want off and I will send a revised quote.

Approve the current quote here: [Quote link]

Thanks,
[Your name]

05

Email 3: last note

Subject

Last note on the [Job type] quote, then I will close it

Hi [First name],

I will archive the [Date sent] quote for $[Amount] on [Archive date] unless I hear from you. No action needed if you have gone another direction.

If you still want the work, approve here: [Quote link], or reply and I will reopen it.

Thanks,
[Your name]

How Jobber quote follow ups actually work

Settings in this section come from Jobber's public help as it read on 22 October 2026. Feature access depends on the plan. Jobber documents quote follow ups on the Connect plan and up. If you do not see Automations under Settings, Jobber says you can set quote follow ups from Emails and Text Messages settings. Check Account and Billing in your login before you train anyone. (Automations)

Gear icon, Settings, Automations. Under quotes, Jobber ships two quote follow up automations for quotes in Awaiting Response. Each has a title, a send day counted from the day you sent the original quote (maximum 90 days), and message text you edit. The follow up goes out the same way as the original quote: email stays email, text stays text, at the same time of day as the original send. Clients and contacts get it only if outstanding quote follow ups are enabled in their communication settings on the client or contact profile. (Automations)

Two automations is not three touches. Put Email 1 and Email 2 in Jobber. Send Email 3 yourself, or use a custom automation if your plan includes the custom builder. Jobber also has quote reminders on all plans: a red reminder on your schedule, assigned to the person who created the quote. Those reminders do not message the client. They tell you to follow up. Turn them on in Work Settings if you want the calendar nag for touch 3. (Quote Approvals, Automations)

If the client requests changes in Client Hub, Jobber moves the quote to Changes Requested and hides it from Client Hub until you send it again or mark Awaiting Response. Stop the follow up sequence. Edit, resend, then the clock starts over. (Quote Approvals)

07

The follow up log

ColumnWhat goes in it
Quote and clientQuote number, name, property
Date sent and amountFrom Jobber, not from memory
Touch 1, 2, 3Date sent, email or text or call
StatusAwaiting, approved, changes requested, declined, archived
Next actionOne line, with a date
Stop dateThe archive date from Email 3, or the day they answered

If you work from Gmail instead of Jobber, the same log still works. Put the three emails in drafts, set a reminder on the sent date, and do not invent a fourth. Inbox triage for promised replies is the solo consultant page.

Download the quote follow up log. One row per open quote. Copy Email 1 and 2 into Jobber automations. Keep Email 3 on the log as a person task.

Next step

Want touch 3 drafted when Jobber's two automations are done?

Jobber can send two quote follow ups. The third note and the odd reply still need a person. Fabren sets up an AI assistant that drafts those notes, with you approving anything that leaves the business. It is $699 per month, month to month, and you buy your own AI seat so the account stays yours.
