How bookkeepers choose client accounting services software without a ranked review

A plain framework for bookkeepers picking CAS or practice tools: client portal, bank feeds, workpapers, reporting, pricing shape, and a scorecard you can fill before a sales call. Not a ranked review.

Bookkeepers and CAS owners at 1 to 5 person firms picking practice tools

Core takeaway

List must haves, score 3 products yourself on a weighted scorecard, require a sandbox with a real client file, and define the first month success test. Not a ranked review.

Affiliate roundups rank CAS tools. A bookkeeper picking software needs a scorecard, not a medal table. List must haves, score three products yourself, require a sandbox with a real client file, and write the first month success test before you sit on a sales call. This page does not rank vendors and does not quote fees.

What to automate after you already have a tool is what a CAS firm can automate per client. Buyer questions for AI add ons are how to choose an AI tool for a CPA firm. The report the client actually opens is the monthly client reporting package.

01

A scorecard, not a ranking

Write the job in one sentence before you book a demo: we need a place for clients to send files, a ledger or a tight link to the ledger we already use, workpapers for the close, and a report we can send on working day 10. If a vendor cannot demo that sentence on a file you bring, you do not have a candidate.

Practice management, close tools, and the general ledger are allowed to be different products. Buying four overlapping "CAS platforms" is how a 1 to 5 person firm spends the year in imports. Score the stack you will actually log into every close, not a slide of modules you will never turn on.

02

Must haves before a sales call

These are filters. A missing must have is a walk away, not a "phase 2."

  • Client portal with MFA for staff and clients, encryption, named users you can revoke, and an audit log. The bar is the same one in the secure client portal guide.
  • Bank feeds you can review before they post. Auto post without a review step fails a close you have to stand behind.
  • Workpapers or a close checklist tied to the client month, not a personal spreadsheet that lives on one laptop.
  • Reporting you can send: P and L, balance sheet, and a short comment field. Fancy dashboards are optional.
  • Pricing shape in writing: per client, per user, per entity, or a bundle. You do not need their number on this page. You need to know which lever moves when you add a third entity.
  • Export if you leave. Files in a structure a successor can open.

Publication 4557 tells tax professionals to limit access to people who need to know, implement multi factor authentication for anyone accessing customer information, encrypt sensitive files, and keep audit trails. The Taxes Security Together checklist puts two factor authentication on the Security Six when a product offers it. A CAS tool that holds books, payroll exports, and source PDFs is in that same bucket. If MFA is an add on they hope you skip, skip the product. (Publication 4557, Taxes Security Together checklist)

03

The printable scorecard

Weight the rows so they add to 100. Score each product 0 to 5. A 5 means you saw it work on your file, not that the sales engineer said yes. Multiply. The highest total still has to pass every must have.

CriteriaWeightProduct AProduct BProduct C
Client portal (MFA, encryption, roles, audit log)20
Bank feeds with a review step before post15
Workpapers and close checklist per client month15
Reporting package you can send on time15
Fits the ledger you already use (or replaces it on purpose)10
Pricing shape is clear when you add users or entities10
Export and deletion if you leave10
Sandbox on a real client file, with your closer running it5

Fill this on paper or in the CSV. Do not let the vendor fill it for you. The secure client portal table is the deeper portal test if that row is the reason you are switching.

04

Sandbox with a real client file

A demo company named Sample Landscaping LLC always reconciles. Bring a messy file you already closed last month: two bank accounts, a handful of uncategorized lines, a missing receipt, and the report you actually sent. Your closer runs the sandbox, not the salesperson.

  • Invite the firm user with MFA. Invite a fake client user with MFA. Revoke one of them and confirm access dies.
  • Connect or import the bank feed. Categorize. Leave one exception. Confirm nothing posts without a person.
  • Build or tick the close checklist for that month. Attach one source PDF. Find it again the next day.
  • Produce the reporting package. Export it. Confirm a second person can find it without the closer.
  • Ask where the data sits, who their subprocessors are, and whether client data trains a model. Write the answers in the vendor file.

The IRS newsroom reminder on multifactor authentication says tax pros should implement MFA across services and data access points, and should enable it in tax software and cloud storage that contain sensitive client data. Enable it in the sandbox. If the trial ships with MFA off "to make onboarding easier," you already saw the default you will live with. (Tax pros: multifactor authentication is key to protecting client data)

05

A 30 day pilot

Pilot one closer, five clients, one month. Do not migrate the book. Success is operational, not "people liked the demo."

WindowWhat you runPass if
Days 1 to 5Turn on MFA, roles, and the log. Import or connect five live files. Write the close calendar for those five.A second person on your team can open every file without a shared password.
Days 6 to 20Run the real close in the new tool in parallel with the old path. Do not skip the old path yet.You can finish the close on the same working day you already promise, with a written list of extra clicks.
Days 21 to 25Send the reporting package from the new tool to those five clients (or to yourself if you are not ready to change the client facing file). The package matches what you would have sent. Numbers reconcilable to the ledger.
Days 26 to 30Score the card again from the closer's notes. Decide keep, drop, or a second month on the same five.Every must have is still true. Extra time per close is written, not guessed.

If the pilot only works when the salesperson is on the call, it does not work. If it only works on the cleanest of the five, it does not work.

06

You may not need another tool

Some firms already have a ledger, a portal, and a close checklist, and they are shopping because the work is still late. Software will not chase a missing bank statement. If the gap is follow through rather than missing buttons, look at the tax season operator instead of adding a sixth login. Your staff still approve what goes out. Your CPA still reviews and signs every return. Nobody here will run your close without a closer.

07

Download the CAS scorecard

Download the CAS software scorecard and 30 day pilot. Weight the criteria, score three products, and date the pilot windows before the next sales call.

Next step

Want the work run, rather than another tool?

If the gap is follow through on missing files, the tax season operator drafts those chases. Your staff approve what goes out. Your CPA reviews and signs every return.
