Core takeaway

Send the checklist with the organizer, tick what applies from last year, collect uploads in the portal, and chase only rows still open. Informational, not legal advice.

This is the checklist artifact a firm brands and sends, not the chasing process and not the organizer. Send it with the organizer. Do not send it instead of the organizer. Keep the year in the title of this page. In the body, talk about this season.

How you chase what is still missing is how to get clients to send tax documents on time. The questionnaire is the tax organizer workflow. Copy for the reminders is the missing tax documents email templates.

02

Send it with the organizer, not instead of the organizer

The organizer catches what changed. The checklist names the files. A client who only gets a 40 page organizer still does not know which PDF to upload. A client who only gets a generic list still does not tell you they got married. Send both. Tick applies on the checklist from last year's return, then let the client mark uploaded.

The IRS gather your documents page is the public list this checklist is built from: personal information, Forms W-2, 1099 or other information returns, documents for credits or deductions, and records from side jobs and self employment. Publication 17 is the individual income tax publication those items sit in. (Gather your documents, Publication 17)

03

Identity, prior year, and income forms

Start with identity and last year, because a missing SSN or a stale address will stop the return before a missing 1099 will. The gather your documents page lists Social Security number or ITIN for everyone on the return, bank routing and account numbers, last year AGI and refund if they filed, the name on file with SSA, current address, last year self-select PIN if they e-filed, and an IP PIN if the IRS issued one.

Form 1099-NEC is the form used to report nonemployee compensation. (About Form 1099-NEC) The gather your documents page is the list of which 1099 variants commonly arrive. Do not add a form the IRS page does not name.

04

Deductions, credits, and life changes

The same IRS page groups documents for credits or deductions: childcare or dependent care expenses, home mortgage and property tax records if they itemize, donations to charity, HSA or FSA contributions, healthcare expenses if they itemize (it notes that special rules apply), retirement contributions, and education expenses if the client is a student or teacher. Form 1098 is the mortgage interest statement. (About Form 1098)

Life changes are why the organizer still has to go out. Ask, on the checklist and in the organizer, whether this season they married, separated, or divorced; added a dependent or no longer have one; moved or bought or sold a home; started or closed a business; retired or changed jobs; or already have an IRS letter or an identity theft issue in hand. December outreach that should already have caught some of this is the year end tax planning client checklist.

05

Business and rental add on, and what not to email

The gather your documents page also lists records from side jobs and self employment: statements from banks, payment apps, card processors or online marketplaces; checks paid to the client; receipts and mileage logs; office expense records; estimated tax payments; and other business income and expense records. Add a rental block if last year's return had Schedule E. Keep those rows off the list for a client who has never had that activity.

Do not ask clients to email the stack. SSNs, Forms W-2, and bank details do not belong in an ordinary inbox. The portal requirements are the secure client portal for accounting firms. If they only have paper, they photograph one page at a time and upload, or they drop originals at the office for a same day scan.

[Tax year] documents: checklist plus organizer

Hi [First name],

Please use this checklist with the organizer we sent, not instead of it. Tick what applies to you this season, upload each file through the portal link, and mark it uploaded. Do not email attachments.

If a form has not arrived yet, tell us who issues it and we will leave that row open. If something on the list does not apply, mark no and move on.

Thank you,
