A 14 page PDF dump is not a reporting package. The owner opens the profit and loss, looks at net income, and emails "why is this different from the bank?" Your pack has to answer that in three sentences on page one, then prove it with the same reports every month, in the same order.
Send this after the close board is signed. The cells that get you there are the month end close checklist. The CAS page is the service card. The multi entity page is how you keep files from mixing.
01
The pack is a conversation in a fixed order
Same sections, same names, every month. The owner learns where to look. You stop writing a novel. Publication 583 is about records that show income, deductions and credits. The pack is how the owner sees those records without logging into the ledger. (Publication 583)
- If a section has nothing this month, send it anyway with 'none' and a date. Silence is how they think you forgot AR.
- If a figure will move because an item is parked, say so on the cover. Do not hope they will not notice.
- If they want a fourteenth chart, add it as an extra, behind the outline. Do not reshuffle the outline for one client.
02
The outline you can copy
| Section | What it is | What 'done' looks like |
|---|---|---|
| 0. Cover note (one page) | Three sentences they can act on, plus parked items | No jargon. No 'please see attached'. |
| 1. Profit and loss | The period, and the same period last year if you have it | Basis stated. Uncategorized income and expense is zero or explained. |
| 2. Balance sheet | As of the last day of the period | It balances. Cash ties to recon status in section 5. |
| 3. AR aging | If you issue invoices in the ledger | 90 day items named on the cover, or 'none'. |
| 4. AP aging | If you enter bills | Bills you cannot pay yet named, or 'none'. |
| 5. Recon status | Each in scope bank and card: reconciled to $0.00, or a named break | Statement date and difference. |
| 6. Open questions | The missing list that is still open | Each line has an owner and a date. |
| 7. Scope reminder (footer) | What this pack is, and is not | Not a compilation, review or audit, unless you have that letter. |
Cash basis clients still get a balance sheet. They still have a card balance, a loan, and an owner draw. If they only ever wanted a profit and loss, you can put the balance sheet second and still send it. Omitting it is how draws hide.
03
How to write the cover note
Three sentences. Then the parked list. Then "reply on this email." That is the whole page.
[Client legal name] | [Month] | [cash or accrual] basis | close signed [Date]
1. Sales were [up, down or flat] against [prior month or prior year], mostly because [one cause you can point at on the profit and loss].
2. Cash on the balance sheet is [amount], which ties to the operating account recon. The card still shows [amount] because [reason].
3. Please look at: [one AR item, one AP item, or one question]. Everything else can wait.
Parked: [items]. These will move the pack when they arrive.
Do not forecast. Do not say "you should hire" or "you should buy the oven." That is advice. If they want advice, that is a different letter. The cover reports what the books say.
04
Pulling the reports in QuickBooks Online
Intuit documents the Balance Sheet under Reports, then Standard reports, then Balance Sheet. It is a snapshot as of a date: assets minus liabilities equals equity, and equity includes net income for the fiscal year to date. There is a Balance Sheet Summary if you want less detail, and a Balance Sheet Comparison if you want other periods in columns. (Run a Balance Sheet report)
Profit and loss, AR, AP and statement of cash flows live in the same Reports area. Intuit's reports hub groups the financial reports and the management report builder. (QuickBooks Online reports) Run profit and loss for the period on the same basis you named in the letter. If you switch cash and accrual on the report to "see what it does," you still send the basis you were hired for. Put the other basis in an extra, labeled, if they asked in writing.
Save the same customizations so next month is not a scavenger hunt: dates, basis, accounting method, comparison columns if you use them. Export to PDF into the client folder using the outline numbers in the file name: 00 cover, 01 p and l, 02 balance sheet. The cover is a one page document you write. It is not a QuickBooks report.
05
A worked pack for a cafe
Illustrative. Cash basis, September. Operating account reconciled. Card reconciled. Square sales. No inventory count in scope.
| Section | What the cafe owner sees |
|---|---|
| Cover | Sales down against August because you closed Mondays. Cash $18,400, ties to recon. Please send the Amazon 286.14 receipt. Parked: that receipt only. |
| Profit and loss | Sales, food cost, labor, rent, merchant fees. Uncategorized expense is zero. |
| Balance sheet | Operating cash, card liability, oven lease, owner draws year to date. |
| AR | None. You do not invoice. Section says none. |
| AP | Sysco bill entered, due next week. Dumpster bill reminder template posted. |
| Recon status | Operating: difference $0.00, statement 30 September. Card: difference $0.00, statement 28 September. |
| Open questions | Amazon 286.14. That is the only line. |
The owner can reply with a photo. You do not need a meeting. If they want a meeting, it is about Mondays and labor, which is their business, not a missing receipt.
06
What this pack is not
AICPA's preparation, compilation and review standards (SSARS) are three different jobs. Compilation and review are assurance services. Preparation (AR-C 70) applies when an accountant in public practice is engaged to prepare financial statements. AICPA treats entering general ledger transactions in the client's software as bookkeeping assistance, which is not a preparation engagement. Using the ledger to assemble financial statements outside the software, or agreeing to prepare a balance sheet or profit and loss as financial statements, is preparation and needs that letter and a no assurance legend. Do not put a compilation report on a bookkeeping pack. Do not imply assurance. If a banker or buyer will treat this pack as statements you prepared, stop and write a preparation letter before you send it. (Preparation, compilation and review standards)
- Not a compilation, review or audit unless you have that engagement.
- Not tax advice. The cover does not say 'you can deduct this'.
- Not a cash flow forecast. The statement of cash flows, if you add it, is historical.
- Not a substitute for the missing statement you parked.
Footer you can paste: "This pack is management information from the [QuickBooks Online or Xero] file we keep under our bookkeeping letter dated [Date]. We have not compiled, reviewed or audited these figures, and we were not engaged to prepare financial statements."
If writing the three sentence cover is what slows every Friday, an AI assistant can draft it from this outline. You still send it.
