A 40 page organizer is how you collect blank pages. A short organizer asks about life changes first, skips what does not apply, and tells you who is ready. Send it in bulk. Remind. Treat submit as the start of prep, not as a finished file.
Every TaxDome control named here comes from TaxDome's public help as it read on 22 October 2026. If a toggle is missing, it may be a plan or an access right. Open the linked article in your account before you train anyone.
Named document requests are how to get clients to send tax documents on time. The document list itself is the tax document checklist for clients. The checklist plus pipeline version is the TaxDome document chasing workflow. Copy for missing files is the missing tax documents email templates. This page stays on the questionnaire.
01
A short organizer beats a long one
Last year's return already has the job, the dependents, and the accounts. The organizer's job is to catch what changed. If nothing changed, they should finish in a few minutes and hit submit. If something changed, they should see the follow on questions, not the whole book.
TaxDome organizers are questionnaires that collect information (and, if you attach one, documents). They autosave. They support conditional logic jumps so clients see only the questions that apply. You can build a template that asks questions only, with no document checklist. Use that mode here. File chasing is a different request. (Send organizers, Create and apply organizer templates)
- Life changes first. Income and deduction questions jump from those answers.
- Required only where a blank would stall prep.
- No W-2 upload on this organizer. That list is the document request.
02
About 15 questions, life changes first
Copy these into sections. Set jumps so a "no" skips the detail line.
| Section | Question | If yes |
|---|---|---|
| Life change | Did your marital status change in [Year]? | New spouse name and whether you will file jointly |
| Life change | Did your address or state of residence change? | Move date and new state |
| Life change | Did you add or remove a dependent? | Name, relationship, months in the home |
| Life change | Did a taxpayer, spouse, or dependent die? | Name and date. Stop and have a person call |
| Income | Is the number of W-2 jobs different from last year? | How many W-2s to expect. Do not upload them here |
| Income | Did you sell a house, stock, crypto, or a business? | What you sold and which 1099-B or closing document will come |
| Income | New 1099 work, a new rental, or a new K-1 you did not have last year? | Payer or entity name |
| Income | Retirement or HSA distributions? | Which account |
| Payments | Did you make federal estimated tax payments? | Amount, date, confirmation for each quarter |
| Deductions | New child care, education tuition, or a large charitable gift you did not have last year? | Which one |
| Deductions | IRA or HSA amounts you contributed outside payroll? | Amount and whose name |
| Health | Marketplace coverage (Form 1095-A) for anyone on the return? | Who |
| Other | Foreign accounts, or a gift or inheritance you need us to look at? | One sentence |
| Other | Anything else we would not know from last year's return? | Free text |
| Close | I confirm these answers are complete and accurate to the best of my knowledge. | Checkbox. Put liability language in the engagement, not only here |
TaxDome's own template article says a checkbox confirmation is fine, and that formal liability language belongs in an engagement letter. Do not turn question 15 into a contract. (Create and apply organizer templates)
03
Build the TaxDome template as questions only
Firm owner, admin, or anyone with manage templates rights: Templates, Firm templates, Organizers, Create template. Name it for the firm and for the client. Do not toggle Attach checklists. Create sections, add questions or text blocks, save. Preview from the top right before anyone sends it. (Create and apply organizer templates)
Marketplace templates exist if you want a starting file. Edit them down. A marketplace 1040 organizer that also asks for every PDF is the long organizer you just decided not to send. (Create and apply organizer templates)
If you later change the template, Update organizers applies the change to organizers that have not been started. Organizers a client already started will not update. Build the 15 questions before bulk send. (Actions with organizers)
04
Bulk send, reminders, and the submit ping
Firm owner, admins, and team members with Manage organizers rights can send. One client: New, Organizer, pick the template, optional name shortcode, optional reminders, optional link to a job, Create and send. The client gets email and a mobile push. (Send organizers)
Bulk: Clients, check the accounts, Send Organizer. TaxDome says you can send to active or offline accounts, including before you invite someone to the portal. (Send organizers)
Reminders: toggle Reminders when you send. Set days until the next reminder (default 3) and number of reminders (default 1). You can edit those on a pending organizer. Manual resend is the three dots on the row. When the client submits, status moves from Pending or In progress to Completed, and you get email plus Inbox+. By default you will not get a ping each time they upload a document; that is a template toggle named Notify about document upload. (Send organizers, Actions with organizers)
You can submit or unsubmit for them. Unsubmit sends them email and sets status back to Pending. Use that when question 14 is a shrug and you need a real answer, not when a W-2 is missing. The W-2 is the document request. (Actions with organizers)
05
A send schedule you can keep
Put this next to the tax season workflow. Organizer submit is not "ready to prepare." Ready is organizer submitted plus the named documents on the other list.
| When | What you do | Done when |
|---|---|---|
| First week of January (or mid December for the clients who file early) | Bulk send the questions only template, reminders on: every 7 days, 3 reminders | Every in scope account has a pending organizer |
| Each Monday in January and February | Open Organizers. Completed rows go to prep intake. Pending rows stay on the reminder clock | Completed list is current |
| After the third reminder | Person calls. Do not add a fourth automated email | Call logged, or they submitted |
| When an answer is unusable | Unsubmit with a one line reason | They have a pending organizer again |
| When the return is done | Archive the organizer. Do not delete it | It is off the to do list and still in the file |
Archive, in TaxDome, keeps the organizer but you cannot seal, export, print, submit, or edit it, and the client will not see it in the to do list. Restore from the Archived tab if you need it. Delete cannot be undone. (Actions with organizers)
06
When a person still opens the file
- Death, divorce, a new state, a sale of a business: a preparer reads those answers the same day.
- Estimated tax answers with no amounts: that row belongs on the payment log, not in a later email about documents.
- Someone who never opens the organizer after three reminders: call, then the extension board.
- A client who uploads PDFs into a questions only organizer: thank them, and still send the named document request so the checklist is the source of truth.
The document collection guide is the next step after submit. Do not grow this organizer to replace it.

Want the call list after the third organizer reminder?
TaxDome can remind. It will not call the client whose organizer is still pending. The tax season operator drafts that named follow up. Your staff approve what goes out. Your CPA reviews and signs every return.
