How a tax or bookkeeping firm batches client copies, Form 8879 packs and PDFs

Core takeaway

Inventory every season output, choose print or PDF to the portal, batch only clients who are ready, and have a person approve anything that leaves the office. Informational, not legal advice.

Going paperless is about what you store. Print automation is about what you still have to produce: the client copy, the Form 8879 signature pack, the filing copy, and the occasional mailed letter. A tax or bookkeeping firm still generates those outputs every season. The work is to batch them, name them, route them, and log that they left the office.

Intake, naming and retention live on how to go paperless at a tax firm. Where a finished PDF sits once it exists is document routing for a tax or CPA firm. The signature form itself is the Form 8879 e-file authorization workflow.

02

What still gets printed at a firm, and why

Most firms are not printing every workpaper. They are still producing a short list of outputs per client, because someone outside the firm has to receive a copy, sign a form, or get a letter in the post. Authorized e-file providers work from IRS e-file publications, including Publication 1345, not from a printer default. (E-file for tax professionals, Publication 1345)

  • Client copy of the return, once a reviewer has signed off
  • Form 8879 signature pack, when the current form requires it before transmit
  • Filing copy and acknowledgement for the firm file
  • Organizer or missing document request, if the client still wants paper
  • Engagement letter, invoice, or a mailed letter when portal delivery is not the channel

If the job is to stop paper at the door, that is how to go paperless at a tax firm. This page starts after the return or letter already exists and has to go out.

04

The season output inventory

One row per document type your firm actually produces. Fill it once. Reuse it every batch run. Columns are document, trigger, format, recipient, who approves, and where it is filed.

Name files to the same scheme as the paperless page: year, client, form or extra note. Type names in folders can skip hyphens so search still works. The forms themselves stay Form W-2, Form 8879, Form 1040-X. How a finished file reaches a folder is document routing.

05

Form 8879 packs, naming, and who approves

Form 8879 is the IRS e-file signature authorization. The current Form 8879 PDF is the text for when you complete it, when you skip it, and how the ERO keeps the signed form. Publication 1345 is the handbook for authorized e-file providers of individual income tax returns. Read those two for keeping the signed form. This page does not paraphrase a retention period. (Form 8879 PDF, Publication 1345)

Batch generating a signature pack is not the same as a signed authorization. A person still matches identity and Part I to this return before anyone transmits. The operator checklist for that gate is the Form 8879 e-file authorization workflow. Tools can draft a chase when the signed pack is still missing. They do not prepare, file, or sign the return.

Nothing in a batch run goes out until a named person approves it. That includes a client copy, a signature pack, and a mailed letter. The season board this sits on is the CPA firm tax season workflow.

06

Mailed letters, the batch run, and the log

Envelopes and printed returns are still taxpayer data. Publication 4557 is the guide for safeguarding that data, including paper and mail. Use it. Do not invent an envelope rule here. (Publication 4557)

Run a batch only against clients who are actually ready:

  • Pick clients ready for delivery: review done, missing list empty, or the leftover is parked in writing.
  • Generate the client copy and, when the current Form 8879 requires it, the signature pack from this return, not from last week's draft.
  • Name each file to the firm scheme before it leaves the print or export folder.
  • Route to the portal or to mail. A person approves anything that leaves the office.
  • Log delivered: date, method (portal or mail), who approved, and where the copy lives.

One row per client, tax year, and document type. Duplicate a row if you sent a corrected copy. How long the firm keeps the output after delivery is the record retention policy for CPA firms, not this inventory.
