A PTIN renewal checklist is a roster, a December sequence, and a hard stop. Each preparer logs in and pays the current fee on the IRS page. The firm does not renew a pool of numbers. Nobody prepares a federal return for pay in 2027 without a valid 2027 PTIN.
How the rest of tax season runs around this roster is the CPA firm tax season workflow. Transcripts pulled through a current e-file application are in Form 8821 and IRS transcripts. If a preparer is late and a return will miss April, that conversation is Form 4868 and Form 7004 client communication.
01
PTINs belong to people, not the firm
Anyone who prepares or assists in preparing federal tax returns for compensation must have a valid 2027 PTIN before preparing returns. Enrolled agents must also have a valid PTIN. The IRS says PTINs belong to the individual, not the business or firm. All PTINs expire on 31 December of each year and must be renewed to stay current and active. Renewal season begins in mid October for the following year. (PTIN requirements for tax return preparers, PTIN application and renewal FAQs)
Online renewal and login run through the IRS Tax Professional PTIN System. Paper Form W-12 is slower. The IRS says online takes about 15 minutes and paper takes 6 weeks to process. Do not put a paper form in the mail in late December and expect a number by 2 January. (IRS Tax Professional PTIN System, PTIN requirements for tax return preparers)
- Each preparer renews. An owner cannot renew someone else's PTIN from the firm card.
- The fee is on the IRS PTIN requirements page. It changes. Do not copy last year's amount into a firm memo.
- A confirmation after payment is the row you log. A verbal "I did it" is not.
02
What to have ready before anyone logs in
The IRS renewal checklist is short. Have it on the desk before they open the PTIN System so they are not hunting for a credential number at 9 p.m. on 31 December. (PTIN renewal checklist: what you need to get started)
| Have this | Why the IRS asks |
|---|---|
| Personal name, mailing address, and current email | The IRS asks for name and mailing address. Most PTIN correspondence is delivered through secure online messaging. A stale email is how they miss a request for more information. |
| Business name and mailing address | Firm details on the account should match the office they work in this year. |
| Written explanations, if they apply | Felony convictions, and problems with U.S. individual or business tax obligations. The IRS says those may affect the ability to obtain a PTIN. |
| A card or eCheck for the current fee | Pay on the IRS page. The fee is not refundable and not transferable. |
| U.S. professional certification, if they have one | CPA, attorney, enrolled agent, enrolled retirement plan agent, enrolled actuary, certified acceptance agent, or state license: number, jurisdiction, and expiration. If a credential does not expire, the IRS says to enter 31 December of the PTIN year (for a 2027 PTIN that is 31 December 2027). |
Tax compliance, for a PTIN, means returns that are due have been filed (or an extension requested) and taxes that are due have been paid (or an acceptable payment arrangement is in place). They attest to that, or they explain. (PTIN application and renewal FAQs)
03
The preparer roster
One row per person who will prepare or assist for pay, plus every enrolled agent on staff. The owner updates status. The preparer still does the login.
| Column | What you log |
|---|---|
| Name | Legal name as it will appear on the PTIN account. |
| PTIN status | Active, expired, inactive, or unknown. Unknown means they have not shown a confirmation. |
| Renewed date | The date on the confirmation, not the date they said they would do it. |
| Credential | CPA, EA, attorney, AFSP Record of Completion, state license, or none. |
| CE status | For AFSP participants only: hours logged, or N/A. You are not their CE vendor. You are checking that they finished the IRS list before they claim the Record of Completion. |
Keep last four of the PTIN on this sheet if you must. Full PTINs live in the PTIN System and in your e-file application, not in a shared inbox.

The December reminder sequence
Renewal season is already open in mid October. December is for the people still on expired. Send these from the owner, naming the people still open. Do not blast the whole firm after half of them finished.
The week the IRS opens 2027 renewal (mid October; adjust to the week you actually send it):
Subject
2027 PTIN renewal: each of you logs in, the firm tracks confirmation
Hi [First name],
2027 PTINs are open. Yours expires on 31 December. You renew. The firm does not. Have your personal and business address, credential number and expiration, and a card for the fee on the current IRS PTIN page ready, then log in at the IRS Tax Professional PTIN System. Send me the confirmation (screenshot or PDF) when it is done. I will log the date on the roster.
If you are not preparing federal returns for pay in 2027 and you are not an enrolled agent, tell me in writing. We will talk about inactive status on your account, not a skip.

Early November, only to rows still blank:
Subject
[Name]: 2027 PTIN confirmation still missing
Hi [First name],
The roster still has no 2027 confirmation for you. Please renew this week and send the confirmation. Paper Form W-12 is a 6 week wait. Use the online system.
[Owner name]
First week of December, remaining names:
Subject
[Name]: 2027 PTIN due this month
Hi [First name],
You still do not have a 2027 PTIN on the roster. Returns you prepare in January need that number. Renew by [December date] and send the confirmation the same day. If something in the application is stuck, say so now so we can call the PTIN line with you.
[Owner name]
15 December, last names:
Subject
Last call: 2027 PTIN before 31 December
Hi [First name],
31 December is the day the 2026 PTIN expires. If your 2027 number is not confirmed by then, you do not prepare federal returns for pay in January. Finish the renewal this week.

Year end housekeeping: PTIN, EFIN, AFSP
Put these on the same December list so they are not three separate panics in January.
| Item | Who owns it | What done looks like |
|---|---|---|
| PTIN for 2027 | Each preparer. Owner logs confirmation. | Confirmation on the roster. Login is the PTIN System. |
| EFIN application still matches the firm | The responsible official on the e-file application. | Open the online e-file application and view or update the existing application: addresses, responsible officials, and authorized users still match who works here. EROs use this application. It is also how EROs, Circular 230 practitioners, and reporting agents get to the Transcript Delivery System once approved. |
| AFSP, only if they participate | That preparer. | AFSP is voluntary. A PTIN alone is enough to prepare returns for pay. Participants need 18 hours of continuing education, including a 6 hour federal tax law refresher course with a test, a renewed PTIN for the coming year, and consent to Circular 230 Subpart B and section 10.51. People who passed the Registered Tax Return Preparer test, and certain other tests, follow the reduced 15 hour path. They get an Annual Filing Season Program Record of Completion. |
(E-file provider services, Annual Filing Season Program)
AFSP participants have limited representation rights for returns they prepared and signed, before revenue agents, customer service representatives, and similar IRS employees, including the Taxpayer Advocate Service. Attorneys, CPAs, and enrolled agents keep unlimited representation. A PTIN holder without AFSP or another credential prepares returns and, for returns prepared and signed after 31 December 2015, does not represent before the IRS. (Annual Filing Season Program)
