Form W-2c is the correction after a Form W-2 has already gone to the SSA or to the employee. The year end W-2 checklist is how you try not to need this page. IRS pages explain what Form W-2c and Form W-3c do. This page is the payroll firm workflow: intake the error, confirm it against payroll records, prepare Form W-2c and Form W-3c, get client approval, furnish the correction to the employee, file Copy A, and note whether a Form 941 correction may also be needed.
Preventing the error in December is the year end payroll W-2 checklist. The quarterly return that may also need a correction is the Form 941 quarterly filing checklist. Deposit enrollment is EFTPS enrollment. If the Form W-2c also changes the 1040, that job is the Form 1040-X amended return workflow.
01
This is not legal advice
This page is general information, not legal advice. About Form W-2c, the current Form W-2c PDF, and the General Instructions for Forms W-2 and W-3 are the texts to read. This page does not invent a filing deadline, a penalty amount, or Form 941-X steps.
02
Intake the error, then confirm it against payroll
Use Form W-2c to correct errors on Form W-2, W-2 (AS), W-2 (CM), W-2 (GU), W-2 (VI), or W-2c filed with the Social Security Administration, and to provide a corrected statement to employees. (About Form W-2c)
File Forms W-2c and W-3c as soon as possible after you discover an error. Also provide Form W-2c to employees as soon as possible. Use Form W-3c to send Copy A of Form W-2c to the SSA. Always file Form W-3c when submitting one or more Forms W-2c. (General Instructions for Forms W-2 and W-3)
Open an intake row before anyone prepares a form: employee legal name, tax year, which box is wrong, the source document (payroll register, Form W-4, prior W-2), and who reported the error. Confirm the old value and the new value against payroll. Do not invent a correction from memory.
If you discover an error on Form W-2 after you issue it to your employee but before you send it to the SSA, the general instructions say to void Copy A of the incorrect Form W-2 and prepare a new Form W-2. That is not a Form W-2c job. Form W-2c is for a form already filed with the SSA. (General Instructions for Forms W-2 and W-3)
03
Prepare Form W-2c and Form W-3c, then furnish and file
Only complete money fields that are being corrected, with the Medicare Qualified Government Employment exception in the specific instructions. If you are correcting only an employee's name and/or SSN, complete Form W-2c boxes d through i. Do not complete boxes 1 through 20. File Form W-3c whenever you file a Form W-2c with the SSA, even if you are only filing a Form W-2c to correct an employee's name or SSN. (Form W-2c PDF, General Instructions for Forms W-2 and W-3)
If you filed a Form W-2 with the SSA that reported an incorrect address for the employee, but all other information was correct, do not file Form W-2c with the SSA merely to correct the address. You still have to get a correct statement to the employee, using one of the three methods in those instructions.
If you were required to e-file the original Form W-2, you must e-file any Form W-2c correcting that form. If the original Form W-2 was permitted to be filed on paper and you filed on paper, then you must file on paper any Form W-2c correcting that form. Do not type an SSA mailing address onto this page. Use the current general instructions for where to file paper Forms W-2c and W-3c.
Get client approval on the old and new amounts before you furnish Copy B to the employee or send Copy A. In general, if you furnished statements to your employees electronically for the original Form W-2, you must furnish the Form W-2c correcting that form electronically.
How missing facts get into the job in the first place is client intake and task tracking.
04
Note whether a Form 941 correction may also be needed
Corrections reported on Form W-2c may require you to make corrections to your previously filed employment tax returns using the corresponding X form, such as Form 941-X. See section 13 of Publication 15 and the Instructions for Form 941-X. This page does not walk through Form 941-X. Flag the question on the log, then send the reviewer to the Form 941 quarterly filing checklist and the current Form 941-X instructions. Do not treat a W-2c as a substitute for Form 941-X.
Tools can draft a chase when an employee still has not confirmed the corrected copy. They do not prepare, file, or sign Form W-2c or Form W-3c. Your staff approve what goes out. Your CPA reviews and signs every return.
05
The error intake form and correction log
One row per employee, tax year, and box being corrected. Duplicate a row if a second box is wrong.
| Column | What you log |
|---|---|
| Employee | Legal name and SSN as they should appear on Form W-2c box h and box d. |
| Tax year | The year in box c. |
| Box corrected | The Form W-2 box number, or name/SSN only. |
| Old value | Previously reported amount or name. |
| New value | Correct information, confirmed to payroll. |
| Approved by | Client signoff date. |
| Furnished | Date Copy B went to the employee, paper or electronic. |
| Filed | Date Copy A and Form W-3c went to the SSA, and the method. |
- The error is confirmed against payroll, not against the employee's recollection alone.
- Form W-2c money fields are limited to the boxes being corrected, unless the instructions require an exception.
- Form W-3c is prepared whenever Copy A goes to the SSA.
- The employee has a corrected copy.
- The log notes whether Form 941-X (or another X form) still needs a reviewer, with no Form 941-X steps on this page.
