How a small firm talks to clients about Form 4868 and Form 7004 so payment day is expected

A board, three emails and IRS rules for individual and business extensions, with Form 8878 or Form 8878-A when you enter the PIN for an electronic funds withdrawal.

Core takeaway

Tell the client the day after your document date, estimate what is due, file on time, and keep the unfinished return on a separate board until October.

Most extension emails go out late and say almost nothing. The client hears "we extended you" in April and learns in September that money was due in April. Keep a board and three emails so Form 4868 and Form 7004 are a filing event with a payment number.

The one paragraph version lives in how to get clients to send tax documents on time. The short Email 5 in the missing tax documents pack is the first notice. Use this page when you need 1040, 1065, 1120-S and 1120 on the same week, with estimates and a signed Form 8878 where the PIN requires it.

01

An extension extends filing. Payment stays due.

The IRS is blunt. An extension gives you until October 15 to file without a failure to file penalty, if you requested it by the April due date. You still pay what you owe by the April filing date. The IRS lists three ways to get the extra time to file: pay online and check the extension box, use Free File to request the extension, or file Form 4868. (Get an extension to file your tax return)

Publication 509 is the calendar. Form 4868 is the automatic six month extension of time to file Form 1040 or Form 1040-SR. Form 7004 is the extension form for Form 1065, Form 1120, Form 1120-S and the other business returns listed in the 7004 instructions. Confirm the year's weekday shifts and any disaster relief before you put a date in an email. (Publication 509, Instructions for Form 7004)

  • Admin tells the client, in writing, the day after your document date.
  • A preparer estimates tax due from what is in the file.
  • A CPA decides the filing position and whether you file the extension.
  • Payment instructions go out before the original due date.
  • The unfinished return sits on an extension board, not in Review.

02

Form 4868 for individuals

File Form 4868 by the due date of Form 1040, Form 1040-SR, Form 1040-NR or Form 1040-SS. For most calendar year filers that is the April date in Publication 509. The IRS cannot generally extend filing more than six months (October 15 for most calendar year taxpayers). Out of the country filers and some Form 1040-NR filers have different dates. Read the current Form 4868 before you write those exceptions into a template. (Get an extension to file your tax return)

Form 8878 is the electronic filing signature authorization for Form 4868 or Form 2350. Complete it when Form 4868 is filed with the Practitioner PIN method, or when the taxpayer authorizes the electronic return originator to enter or generate the PIN. Publication 1345 adds that Form 8878 is only needed for Form 4868 when the taxpayer is authorizing an electronic funds withdrawal and wants the ERO to enter the PIN. Keep the signed Form 8878. Do not send it to the IRS unless asked. (About Form 8878, Self-select PIN method for Forms 1040 and 4868)

03

Form 7004 for partnerships, S corps and C corps

Use Form 7004 to request an automatic extension of time to file certain business income tax, information and other returns. File it on or before the due date of the return you are extending. Complete it properly, estimate the tax if applicable, and pay tax that is due. No signature is required on Form 7004. The IRS will not send an approval. They notify you only if the request is disallowed. File a separate Form 7004 for each return. (Instructions for Form 7004)

The automatic period is generally six months. Estates (other than bankruptcy estates) and trusts filing Form 1041 get five and a half months. C corporations with tax years ending 30 June and beginning before 1 January 2026 get seven months (six if filing Form 1120-POL). For tax years beginning in 2026 the automatic period is six months. Do not use Form 7004 for Form 1041-A. Use Form 8868. (Instructions for Form 7004)

ReturnUsual calendar year due date (Pub 509)Extension form
Form 1065 (and K-1s to partners)15th day of the 3rd month after year endForm 7004, generally six months
Form 1120-S (and K-1s to shareholders)15th day of the 3rd month after year endForm 7004, generally six months
Form 112015th day of the 4th month after year endForm 7004, generally six months
Form 1040 or Form 1040-SR15th day of the 4th month after year endForm 4868, generally six months

Partnerships and S corps still need to get K-1s out. Extending the entity return does not give the 1040 client a K-1. Put K-1 delivery on the board as its own row. If you file Form 7004 electronically with an electronic funds withdrawal, Form 8878-A is the PIN authorization for that withdrawal. Receive the signed Form 8878-A before you transmit. Keep it. Do not send it to the IRS unless asked. (About Form 8878-A)

04

The extension board you run in March

One row per return. Start it the week of your document date, not on 14 April. The tax season workflow already wants extension conversations on the Monday huddle. This is the board behind that question.

Email 1: we plan to extend

Send the day after your document date. A CPA has already said this file will not be complete.

Subject

[Client]: we plan to file an extension for your [Year] [Return]

Hi [First name],

We do not have everything we need to finish your [Year] [Return] by the original due date. Still missing:

[Named list]

We plan to file [Form 4868 or Form 7004] for [Client legal name]. An extension gives more time to file. Any tax due is still due by [Original due date].

If you would rather we did not file the extension, or if those items will arrive this week, call me at [Phone] by [Reply date].

Thanks,
[Your name]
[Firm]

06

Email 2: estimated amount due

Send once a preparer has a number, and early enough that the client can pay by the original due date.

Subject

[Client]: estimated amount due by [Original due date]

Hi [First name],

Based on what we have, we estimate [Client legal name] will owe about [Amount] with the [Year] [Return]. This is an estimate. The finished return may change it.

Please pay [Amount] by [Original due date] using [Payment method you support]. Send us the confirmation. If you cannot pay in full, call [Phone] so we can talk about IRS payment options. We cannot invent a plan by email.

We still need: [Named list]

Upload here: [Upload link]

Thanks,
[Your name]

If you will pull an electronic funds withdrawal on Form 4868 and you will enter the PIN, send Form 8878 with this email and do not transmit until it is signed. (About Form 8878)

07

Email 3: filed, here is what is still missing

Subject

[Client]: extension filed. We still need [one named item]

Hi [First name],

We filed [Form 4868 or Form 7004] for [Client legal name] on [Date]. Confirmation: [ID]. The extended filing date is [Extended date]. Payment of tax was still due [Original due date].

To finish the return we still need:

[Named list]

Please upload here: [Upload link]. We will not restart a generic organizer. Reply if a line does not apply and we will take it off.

Thanks,
[Your name]

After this, chase only the named list. Do not send Email 1 again in August. The document templates cover the nudges. Park the return on the extension board until the list is empty or you call.

08

Download the extension board

Download the extension board. One row per return. Fill dates from Publication 509 for the year you are in, not from memory.

After Email 3, chase only the named list. Park the return on this board until October. If the remaining item is a K-1, the tax season operator can keep that list current and draft the nudges, with your staff approving what goes out.

Next step

Want the August K-1 list kept current after you extend?

Filing Form 4868 is one afternoon. Collecting the K-1 in August is the rest of the year. The tax season operator drafts those named nudges. Your staff approve what goes out. Your CPA reviews and signs every return.
